What Should You Ask a Wholesale Coffee Packaging Manufacturer?
A wholesale coffee packaging manufacturer should be able to answer specific questions about barrier performance, food-contact compliance, valve systems, printing tolerances, minimum order quantities, lead times, quality controls, and shipping specifications. Ask for OTR and WVTR data rather than accepting “high barrier” as a specification, and request documentation that matches the market where the coffee will be sold. In the EU, food-contact packaging falls under Regulation (EC) No 1935/2004, while BRCGS Packaging Materials Issue 7 entered its audit phase in April 2025. Also compare MOQ, cylinder or plate costs, sample procedures, defect tolerances, valve performance, and batch traceability. A useful quotation should define the bag structure, thickness, printing method, quantity, tolerances, Incoterm, and lead time—not just a price per bag.
The first conversation should start with the coffee itself rather than artwork. Tell the supplier whether you pack whole beans or ground coffee, the fill weight, expected shelf life, packing temperature, distribution region, and typical storage conditions. FDA food-contact guidance separates food types and conditions of use because packaging suitability depends partly on what contacts the material and how the packaged product is stored. A 250 g retail pouch sold within 60 days has a different specification from a 1 kg bag expected to remain in distribution for 9 or 12 months.
That product information should lead to a written material specification. Ask the manufacturer to identify every layer of the laminate, total thickness in microns, sealing layer, barrier layer, adhesive system, and available mono-material alternatives. Do not accept “PET/foil/PE” without thicknesses or technical data. For EU sales, Regulation (EC) No 1935/2004 requires food-contact materials not to transfer constituents at levels harmful to health or cause unacceptable changes to food composition, taste, or odor; GMP requirements are also established under Regulation (EC) No 2023/2006.
Ask for the technical data sheet and food-contact declaration for the exact construction quoted, including the revision date and intended conditions of use. A certificate for a different film structure is not documentation for the bag being purchased.
Once the structure is identified, move from material names to measured barrier performance. Oxygen and water vapor can enter flexible packaging at rates influenced by material, thickness, temperature, humidity, seals, valves, and closures. Request OTR in a stated unit such as cc/m²/day and WVTR in g/m²/day, together with the test temperature and relative humidity. A number without test conditions is difficult to compare. If two suppliers quote structures differing by 15% in thickness, their performance and cost should be evaluated from data sheets rather than appearance.
Freshly roasted coffee adds another requirement: carbon dioxide continues to leave the beans after roasting. Published coffee research reports that significant CO₂ remains trapped after roasting and gradually diffuses out during storage; active packages commonly use vent valves so excess gas can escape without allowing normal outside-air exchange. A 2025 study of roasted beans in metallized valve bags recorded package CO₂ partial pressures around 0.82–0.83 atm at 25°C during parts of a 21–84 day observation period, showing how strongly the internal atmosphere can change after packing.
Ask the manufacturer how its one-way valves are installed and tested. Useful questions include valve opening pressure, leak-testing method, valve position tolerance, compatibility with the selected laminate, and whether valve application occurs before or after pouch conversion. Also ask whether the supplier has data for whole-bean and ground-coffee applications. A valve cannot compensate for weak seals or a poorly selected film, so the valve, laminate, zipper, and heat seals need to work as one package.

After barrier specifications are agreed, ask how the manufacturer verifies production. Request its inspection plan for incoming film, printing, lamination, curing, pouch dimensions, seal integrity, zipper placement, valve placement, and finished cartons. Certification does not replace your own specification, but it provides a structured reference for supplier quality and product-safety systems.
Ask which quality records can be attached to each shipment. A useful lot record may include material lot numbers, production date, machine or line identification, inspection results, quantity produced, quantity rejected, and operator or QC approval. Also define the acceptable quality limit or another agreed inspection method in the purchase specification. If an order contains 100,000 coffee bags, even a 1% defect rate represents 1,000 units that may interrupt packing or require sorting.
Printing deserves a separate discussion because an approved PDF does not establish how the finished pouch will look. Ask whether the job uses digital, flexographic, or gravure printing; request the printable area, bleed, registration tolerance, color system, maximum number of colors, and treatment of white ink on clear or metallized film. For repeat orders, ask how color is controlled against an approved master and whether measurements such as Lab* or ΔE are available. If artwork contains a 2 mm line close to a zipper or seal, manufacturing tolerances should be reviewed before approval.
The printing method also changes the commercial model. Digital production can suit smaller runs or multiple SKUs because it avoids conventional printing cylinders, while gravure or flexographic processes may become more economical as volumes increase. Ask for quotations at several quantities rather than one MOQ—for example, 5,000, 10,000, 25,000, 50,000, and 100,000 units. Compare total landed cost, not only unit price, because setup charges, cylinders or plates, freight, duties, cartons, pallets, and warehousing can change the result by more than a small percentage.
Ask whether the MOQ applies per size, per artwork, per material structure, or per production run. “MOQ 10,000” can describe four different commercial conditions, and the distinction matters when a brand sells several roast profiles.
Lead time should then be separated into stages. Request estimated days for artwork review, pre-production samples, printing, lamination and curing, pouch conversion, inspection, and dispatch. If a supplier says “25 days,” ask when the clock starts: deposit date, artwork approval, material arrival, or signed sample approval. For a launch scheduled in 2026, a 10-day artwork correction plus 25-day manufacturing period can already consume five weeks before international transport begins.
Sampling should occur before that schedule becomes expensive to change. Request existing material samples first, then a production-representative sample when possible. Fill it with the actual coffee and check net weight, headspace, zipper position, valve location, seal area, opening experience, carton fit, and compatibility with filling equipment. Measure the bag rather than judging it visually. A width error of only 3% on a narrow pouch can affect filling clearance, retail presentation, or case packing.
Next, ask what the supplier does when a shipment fails the agreed specification. The purchase agreement should describe how defects are reported, what photographs or samples are required, how quickly the manufacturer responds, and whether accepted claims result in replacement, credit, rework, or another remedy. BRCGS Issue 7, published in 2024, strengthened areas including hazard analysis, risk assessment, continual improvement, and product safety culture, giving buyers useful subjects to discuss during supplier qualification.
Sustainability claims need the same level of documentation as barrier claims. Ask what “recyclable,” “compostable,” or “paper-based” refers to, which components are included, and whether the zipper and valve change the claim. Request the relevant certification or test report and check the destination market’s collection and processing system. A pouch containing 70% paper by weight is not automatically suitable for a paper recycling stream, and replacing a high-barrier laminate with a simpler structure should be evaluated against the intended 6-, 9-, or 12-month shelf life.
Food-contact documentation should also match the destination market rather than the supplier’s general export history. For EU distribution, request documentation supporting compliance with Regulation (EC) No 1935/2004 and applicable material-specific rules; the European Commission states that food-contact materials must also follow GMP requirements. For products sold in the United States, ask for the basis supporting the intended food-contact use under applicable FDA requirements rather than accepting a generic “FDA approved” statement with no material or condition-of-use reference.
Commercial questions come last because the technical specification determines what is actually being priced. Request unit price, tooling charges, sample fees, payment schedule, carton quantity, gross and net carton weight, pallet configuration, production overrun or underrun tolerance, and the Incoterm used. Compare EXW, FOB, CIF, or DDP quotations only after confirming what each price includes. A pouch that is 8% cheaper at the factory can cost more after freight if its carton dimensions use container space inefficiently.
Before issuing the purchase order, put the agreed specification into one controlled document: dimensions, tolerances, film construction, thickness, OTR/WVTR requirements where applicable, zipper and valve details, artwork version, color reference, finish, quantity, inspection method, packing method, carton labeling, regulatory documents, lead time, and claim procedure. Ask the manufacturer to approve the same revision. If a specification cannot be measured, documented, or checked against an agreed sample, it is difficult to enforce consistently across repeat orders.
